SaaS buyers are cold-email-literate - they see dozens of outreach sequences per week. These 8 templates are built for specific buyer personas and trigger events, not for generic spray-and-pray. Copy, personalise, and adapt to your ICP.
1. Trigger (1 sentence)
Reference a specific reason for contacting them today: funding, new hire, job posting, recent content. Not “I’ve been following your company.”
2. Problem (1 sentence)
Name the pain this trigger creates - from their perspective. “Scaling RevOps without a single source of truth” is better than “We help with revenue operations.”
3. Proof (1 sentence)
One outcome you delivered for a similar company type. You don’t need a client name - “helped a Series B SaaS cut CAC by 30%” works.
4. CTA (1 question)
One low-commitment question. “Worth a 20-minute call?” or “Is this a priority in Q{{n}}?” One CTA only - never two options.
| Metric | Average | Good benchmark | Note |
|---|---|---|---|
| Open rate | 20-30% | 45-60% | Distorted by Apple MPP - not a reliable primary metric |
| Reply rate (all) | 2-5% | 5-10% | All replies including negative |
| Positive reply rate | 1-3% | 3-8% | Interested + booked calls - your real KPI |
| Bounce rate | <2% | <0.5% | Above 2% risks ESP/sequencer suspension |
| Unsubscribe rate | <0.5% | <0.2% | High unsubscribe = poor ICP targeting |
| Meetings booked | 0.5-1% | 1-3% | Per email sent; total sequence performance |
(1) Subject: specific to their pain or trigger, not your product name. (2) First line: personalised trigger reference, not “I hope this email finds you well.” (3) Problem: one sentence from the buyer’s perspective. (4) Proof: one outcome sentence (company type + result). (5) CTA: one low-commitment question. Under 120 words. Never start with “I” or your company name.
Positive reply rate (interested + booked calls) of 3-8% is good. The average is 1-3%. Trigger-based sequences to matched ICPs can reach 8-15%. Open rates are distorted by Apple MPP - use positive reply rate as your primary success metric.
Under 120 words for the body. The structure: trigger (1 sentence) + problem (1 sentence) + proof (1 sentence) + CTA (1 question). The more senior the buyer, the shorter the email. A CTO receives 200+ emails/day - three highly relevant sentences outperform a six-paragraph pitch.
