Partnership Outreach Email Template
What They Get Goes in the First Two Lines, the Ask Is One Small Step

A partnership outreach email proposes an exchange between two companies, an integration, a co-marketing piece, a referral arrangement, and succeeds or fails on whether the other side's gain is stated before yours and in numbers. It goes to partnerships, marketing or product leaders, usually found rather than known, so the address needs verifying like any cold list. Teams report 6 to 12% positive replies when the email names a shared customer base and proposes a step small enough to say yes to without a meeting.

Four partnership types and what the first two lines must contain

Partnership typeTheir gain, stated firstSmallest first step
IntegrationA feature their users ask for, at no build cost to themA 30-minute scoping call, or a one-page spec you have already written
Co-marketingReach into your audience, sized in numbersOne guest article or one joint data piece
Referral or affiliateRevenue share on customers you send themA tracked link and the first three referrals
Reciprocal mentionsA link or mention from a page that ranksThe URL where their mention would sit, and where you would like yours

If you cannot fill the middle column with a number or a concrete item, the partnership is not ready to propose.

Why most partnership emails die

They open with the sender's company. Three paragraphs on what you do, then a line on "synergies". The reader runs partnerships for a living and has twenty of these a week; they are looking for the number that says what they get, and if it is not in the first two lines they stop.

They also ask for a meeting to "explore". Exploring is work with no outcome. Propose the smallest concrete step, a spec, an article, a link, so the reply is a yes rather than a calendar negotiation.

And they go to the wrong person. Integrations belong to product, co-marketing to marketing, referrals to partnerships or sales. Find the owner of the type, confirm the address, and write to that person's metric.

Main template: integration
Subject: {their_product} + {sender_product}: {user_benefit}
Hi {first_name},

{shared_customer_count} of our customers also use {their_product}, and the thing they ask both of us for is {user_benefit}. An integration would give your users that without your team building it; we would do the work.

The spec is one page and already written. I can send it, or we can scope it in 30 minutes, whichever is lighter for you.

For reference, {sender_company} {outcome_one_line} for {customer_type}; {similar_partner} shipped the same integration with us in {timeframe}.

{sender_name}
{sender_title}, {sender_company}

If this is not relevant, reply "no" and I will not write again.
  • {shared_customer_count} A real number, even if small
  • {user_benefit} What the shared users get, in five words
  • {similar_partner} A partner who already integrated
Variant A: co-marketing with sized reach
Subject: A joint piece for {audience}
{first_name},

Proposal in two lines: a joint {content_type} on {topic}, published on both sites, with your byline on ours. Our side brings {reach_number} monthly readers in {audience} and the data: {data_hook}.

If that is useful, I will send a one-paragraph outline. If the audience does not fit, say so and I will not chase.

{sender_name}

If this is not relevant, reply "no" and I will not write again.
  • {content_type} Article, benchmark, webinar
  • {reach_number} Monthly readers or subscribers, honest
  • {data_hook} The unique data you bring
Variant B: reciprocal mention
Subject: Mention swap: {their_page} and {our_page}
Hi {first_name},

Your page {their_page} ranks for {their_keyword}, and ours, {our_page}, ranks for {our_keyword}. Each covers something the other's readers ask about.

I would add a mention of {their_product} to ours this week, in context, at {our_anchor_context}. If a mention of {sender_product} fits at {their_anchor_context}, that completes the swap. No obligation; the first half stands either way.

{sender_name}

If this is not relevant, reply "no" and I will not write again.
  • {their_page} / {our_page} The exact URLs
  • {our_anchor_context} / {their_anchor_context} The sentence or section where the mention would sit

Rules for partnership outreach

Verify the address; partnership contacts move often

Partnerships roles turn over faster than most. Find the current owner and confirm the address with a single check before the send; non-freemail (business and ISP) addresses ran 14.5% invalid in 2026.

Numbers, not synergies

Shared customers, reach, revenue share percentage. If a sentence has no number and no concrete deliverable, cut it.

One link, to the thing you are offering

The spec, the outline, the page where the mention would go. Not your homepage.

Do the first half unconditionally where you can

A mention you add before they reply costs little and proves intent. It also removes the negotiation from the first email.

What to measure

MetricHealthy range (industry)If missed
Positive replies6 to 12% per 100 deliveredTheir gain was not first, or not numeric
First step completed3 to 6% of deliveredThe step needed a meeting; make it a document
Partnerships live within 90 days1 to 3% of deliveredNormal; partnerships are slow after the yes
BouncesUnder 1% verifiedPartnership contacts moved; verify at send time
Filled-in example
Subject: Smartlead + BounceZero: verified lists inside the sequencer
Hi Jordan,

Around 140 of our customers also run Smartlead, and the thing they ask both of us for is verification inside the campaign upload, so a list is checked before the first send rather than after the first bounce.

An integration would give your users that without your team building it; we would do the work. The spec is one page and already written. I can send it, or we can scope it in 30 minutes, whichever is lighter.

For reference, we verify about eight million addresses a quarter for outbound teams; Instantly shipped the same integration with us in six weeks.

Common mistakes with partnership outreach

Opening with your company

Their gain goes first, in a number. Your description goes last.

Asking to "explore synergies"

Propose a document, a link or a mention you have already added. Meetings follow the yes.

Writing to the wrong owner

Product for integrations, marketing for co-marketing, partnerships for referral deals.

Sending to a stale partnerships contact

These roles turn over fast. Find the current person and verify the address.

Frequently asked questions

What should the first line of a partnership email say?

What the other side gets, in a number: shared customers, reach, revenue share. Your company description comes last. Partnerships leaders read twenty proposals a week and stop at the first paragraph that is about the sender.

Who should I send a partnership email to?

The owner of that partnership type: product for integrations, marketing for co-marketing, partnerships or sales for referral deals. Find the current person, since these roles turn over quickly, and verify the address before sending.

Should I ask for a call to explore a partnership?

Propose the smallest concrete step instead: a one-page spec, an article outline, a tracked link, a mention you have already added. A yes to a document is easier than a yes to a meeting, and the meeting follows the yes.

How do I propose a reciprocal mention or link swap?

Name both pages and both keywords, say exactly where each mention would sit, and add yours first if you can. Variant B is that message. Keep it in context on a page that ranks; swapped links on irrelevant pages help nobody.

What reply rate should partnership outreach get?

Teams report 6 to 12% positive replies when the email leads with a sized gain and a small first step, and 3 to 6% of sends reach that first step. Partnerships then take weeks to months to go live; measure the step, not the signature.

Bring data to the partnership

A joint piece needs numbers. The lead list benchmarks are citable, and your own list can be measured the same way. 100 free checks a month, unknowns refunded.
