Referral Request Email Template
Ask for One Named Introduction and Make the Forward Effortless

A referral request email asks someone who already knows you, a customer, a partner or a former colleague, to introduce you to one specific person or role, and gives them a forwardable paragraph so the introduction costs them under a minute. It is the only template in the set sent to a warm address, which is why it converts at 20 to 35% positive replies in teams that track it, and why its failure mode is vagueness rather than deliverability.

The two mistakes that waste a warm contact

The first is asking for "anyone you think could benefit". The reader has to think, search their memory, judge fit, and compose an introduction. Most will mean to and not get to it. Name one person or one role at one company, and the ask becomes a yes or no.

The second is making them write the introduction. Include a forwardable paragraph, written in the third person, that they can paste into an email with a one-line note on top. Remove the writing and the referral happens the same day.

The template does both, and adds the return favour explicitly. A referral is a withdrawal from a relationship; say what you will put back.

Main template
Subject: One introduction, if it is easy
Hi {first_name},

A small ask. I am trying to reach {target_name}, {target_title} at {target_company}, about {topic}. I think you know them from {connection_context}.

If an introduction is easy, the paragraph below is forwardable as it is. If it is not, say so and I will find another route; no awkwardness.

---
{sender_name} runs {sender_company}, which {outcome_one_line} for {customer_type}. They asked me for an introduction because {reason_relevant_to_target}. Worth a short conversation if {topic} is on your list.
---

And if there is anyone you want to meet, send me the name.

{sender_name}

If this is not relevant, reply "no" and I will not write again.
  • {connection_context} How your contact knows the target: former colleague, same board, same event
  • {reason_relevant_to_target} Why the target specifically, in one clause
  • {outcome_one_line} What you do, in third person
Variant A: to a customer, for a peer
Subject: Someone like you
{first_name},

You have had {sender_company} running for {duration} now, with {result} so far. Is there a peer at another company, someone in a role like yours, who is dealing with {problem}?

One name is enough; I will write to them and mention you only if you say I may.

{sender_name}

If this is not relevant, reply "no" and I will not write again.
  • {duration} How long they have been a customer
  • {result} A number from their account, with their permission
Variant B: to a partner, with the exchange stated
Subject: Introduction swap
Hi {first_name},

I would like to meet {target_name} at {target_company}; you worked with them on {project}. In return, I can introduce you to {offered_name} at {offered_company}, who is looking at {offered_topic} this quarter.

Both paragraphs are below, ready to forward. Say which, if either, works.

---
{forwardable_about_you}
---
{forwardable_about_them}
---

{sender_name}

If this is not relevant, reply "no" and I will not write again.
  • {offered_name} Who you can introduce in return
  • {forwardable_about_you} / {forwardable_about_them} Two short third-person paragraphs

Rules for referral requests

Warm address, so send from the primary domain

This is correspondence with a known contact, not cold outreach. Send from your real mailbox, with a signature, and reply in their thread if one exists.

Keep the target's address out of it until introduced

Do not find and email the target in parallel. If the introduction comes, the warm thread replaces the cold one; if it does not, the cold templates are the fallback, from the cold domain.

One ask per email

Two names in one request halves the chance of either. Ask again next quarter for the second.

Report back

Tell the referrer what happened within two weeks, whatever the outcome. It is the difference between one referral and a referrer.

What to measure

MetricHealthy range (industry)If missed
Replies20 to 35% positiveThe ask was vague or the forwardable paragraph was missing
Introductions made10 to 20% of requestsTarget was not someone the contact really knows
Meetings from introductions40 to 60% of introductionsNormal; warm introductions convert
Requests per contact per yearTwo at mostMore than that spends the relationship
Filled-in example
Subject: One introduction, if it is easy
Hi Marcus,

A small ask. I am trying to reach Elena Ruiz, Head of Sales at Fenwick Media, about list quality for their outbound team. I think you know her from the Bramble days.

If an introduction is easy, the paragraph below is forwardable as it is. If it is not, say so and I will find another route; no awkwardness.

---
{referrer_name} works at {your_company}, which verifies outbound lists so sequences do not bounce. They asked me for an introduction because Fenwick is scaling its SDR team this quarter. Worth a short conversation if list quality is on your list.
---

And if there is anyone you want to meet, send me the name.

Dan

If this is not relevant, reply "no" and I will not write again.

Common mistakes with referral requests

Asking for "anyone who might benefit"

The reader has to think and search. Name one person at one company.

Making them write the introduction

Include the forwardable paragraph. Remove the writing and the referral happens today.

Cold emailing the target in parallel

Wait two weeks. If no introduction comes, fall back to the cold templates from the cold domain.

Not reporting back

Tell the referrer what happened within two weeks. It is what earns the second ask.

Frequently asked questions

How do I ask for a referral without being pushy?

Name one specific person or role, include a forwardable paragraph so they do not have to write anything, and give them an easy out. The ask becomes a yes or no that takes under a minute, which is the opposite of pushy.

Should I offer something in return for a referral?

State what you will put back, whether an introduction of your own, a report on the outcome, or simply the favour owed. Variant B makes the exchange explicit for partners. For customers, reporting back is usually enough.

What should the forwardable paragraph contain?

Who you are, what you do in one line, why this target specifically, and what a conversation would be about. Third person, four sentences, no adjectives, ready to paste under a one-line note from the referrer.

How many times can I ask the same contact for referrals?

Twice a year at most, one name each time. More than that spends the relationship faster than it earns. Report back after each one; it is what makes the second ask welcome.

Should I also cold email the person I asked to be introduced to?

Not in parallel. If the introduction arrives, the warm thread replaces the cold one. If it does not after two weeks, fall back to the cold templates from the cold domain, and do not mention the referrer unless they said you may.

Keep the rest of the list as clean as the referral

Referrals arrive one at a time; the rest of the pipeline is lists. Verify them so the cold side of outreach matches the warm side. 100 free checks a month, unknowns refunded.
